Information collected for RTI processing
The service records your name, communication address, email, optional phone, request or appeal, fee/BPL references, correspondence and supporting documents. These particulars are used by authorised University staff to receive, allocate and answer the case. Do not include unnecessary identity documents or financial credentials.
Private access
Your receipt contains a registration number and a private access code. The code is stored as a one-way hash. Both are required to view your case and its documents. Do not share the code; it grants access to the complete case record. Staff use individual authenticated accounts. A strictly necessary staff session cookie expires after eight hours. Applicant credentials are kept in page memory and are not placed in URLs.
Publication of appeal summaries
Applications, attachments, addresses, names, emails, phone numbers and private replies are not automatically published. Staff may prepare a separate redacted title and summary for an appeal. A different authorised Registrar reviewer must approve those exact fields before publication. The public list contains the reference number, approved title, approved summary and publication date. A change to a published draft removes it from public view until it is approved again.
Notifications and records
When SMTP or a notification gateway is configured, the service passes your email and a receipt or status alert to the University’s configured delivery provider. Sensitive request text and the private access code are excluded from notification messages. Replies remain available through private tracking even if notification delivery is pending.
RTI case records, correspondence and approval audit entries are retained according to the University’s applicable record-retention obligations. Contact the Registrar’s Office about corrections, access concerns or assisted recovery of a lost access code. An identity-verified recovery procedure must be handled by authorised staff; there is no automatic email-based code reset.
Legal disclosure and assistance
The PIO and designated authority assess applicable RTI exemptions, third-party consultation, severability and lawful disclosure. For assistance or a concern about published material, contact the University RTI office.
